The Institution Administrator Dashboard is an institution focused view of all BUCS activities. This is available on the desktop platform and located on the home page when you login to BUCS Play.
Access
Only Institution Administrators (IAs) will have access to this feature. You will need to be set up as an IA across your entire institution to access the Dashboard.
IAs for specific Sport Communities will not be able to access the Dashboard (e.g. the Hockey Head of Performance set up as an IA only within the Hockey Sport Community).
What is the Dashboard?
The Dashboard gives you an overview of all your institution's Fixtures, Team Sheets, Team Entries, Events and progress in Competitions. Below you will find further information on each of these sections:
Fixtures:
The Fixtures tab allows you to segment fixtures quickly and easily through a range of filters:
- Sport Community
- Institution
- Team
- Date
- Change requests
- Game status (All, Coming Up, Played, To Play)
- Home and Away
Add your desired filters, then click Go.
You can also export your fixtures to a CSV file (Click here for further information on how to do this).
Team Entry:
On the Team Entry tab there is the ability to add and remove teams for the season and to have an overview of all entered teams, Captains and the number of players in each team. For League and Knockout programmes, entries can only be made during certain windows in the year (Click here for more information on this process). For team-based events, these windows open and close at various periods throughout the year, according to the Events Calendar.
Team Sheets:
On the Team Sheets tab you will be able to gain an overview of all the Team Sheets for your institution's matches. This will save you time compared to viewing your Team Sheets one by one through each fixture and will assist in understanding player movement and managing your teams before match days.
You can access the team sheets by filtering by your institution, finding the desired team and opening their team sheets. Instantly you will be able to see how many participants have been selected per fixture.
Events:
The Events tab on Dashboard is where you are able to manage and approve your students' entries for individual events on behalf of your institution. Click here for further information on this feature.
Institution Management:
The Institution Management tab is where you can add Venues per Sport Community/Team and set your Kit Colours across your Institution or per Sport/Team.

Competitions:
The Competitions tab is a useful place to understand performance of teams that compete in leagues and knockout competitions.
Also, you can see how you compare against other institutions in a great level of detail through a number of filters:
- Sport Community
- Institution
- Specific League or Tournament
- Team
- Sort by position within the Competition
- Sort by BUCS Points earned
Alerts:
You will receive alerts on the Dashboard for a number of actions on the Fixtures, Team Entry, Team Sheets and Events tabs to assist in completing important actions and finding key information quickly and easily. Some of these include:
- Outstanding results to be entered
- Outstanding results to be approved
- Fixture Change Requests to approve
- Fixture Change Requests sent out that are awaiting approval from the opposition
- Team Entry deadlines approaching within the next 21 days
- Event entry approval deadlines approaching within the next 21 days
